Start with the personal document checklist from UDI when you apply for permanent residence. A folder and a simple overview can help you find the right version and spot missing items. The method below helps you stay organised; it does not create any new document requirements.

Where can you find the correct checklist?

Log in to your application with the Norwegian Directorate of Immigration (UDI). UDI says that the online application provides a checklist tailored to your situation. A general list online may leave out documents related to your basis for residence, or include documents you do not need. Copying a friend’s application is therefore not a reliable check.

Do three things first: choose the right type of application, open the checklist under My applications, and save a copy or print it for your private records. Also check whether it says that something must be shown in its original form at your appointment with the police. UDI says that documents in languages other than Norwegian or English must generally be translated into Norwegian or English by an authorised translator, with the translator’s name and the date. Create a folder that shows both topic and status

Four to six folders are enough for most people. The names below are only a private way of organising your files. Do not upload your entire folder structure to UDI; select the document type UDI asks for in the digital service.

Save decisions about temporary residence together with earlier decisions if your residence period includes several permits. For income, you may have payslips, tax returns, business statements or decisions about benefits, depending on what UDI requests. For tests, distinguish between official test certificates and your own practice results. SamfunnPrep tests can help you prepare, but they are not proof that you passed an official test.

Give files names you will understand in six months

Use a date, topic and version in the filename. A file called document(4).pdf is hard to recognise. Examples:

The date at the beginning is the date on the document or the period it covers. Do not put your national identity number or passport number in the filename. Use v2 only if there are actually two versions. Keep the original even if you create a readable scan. Check that every page is included, the text and stamps can be read, and the image is not cropped. An unclear attachment creates more work.

Use a simple status list

One row for each document makes it clear what is missing. You can use paper, a spreadsheet or a notes app. Do not write sensitive details in a shared calendar.

Use the columns requirement, date, status and next action. You can also write down the date you sent a document to UDI. This helps you avoid sending the same file several times without a reason. The table is an example; required attachments vary.

What should you check right before your appointment with the police?

Check that documents are current and consistent. Compare your name, date of birth and any name changes across your passport, residence documents, payslips and test certificate. If something does not match, find documentation of the change and ask the relevant authority how to correct it. See how to read your UDI decision when organising your permits.

Then go through five points:

  1. Has the application been registered and the fee paid where required?
  2. Do you have your personal UDI checklist, rather than only a general webpage?
  3. Is every document readable, complete and correctly translated when a translation is required?
  4. Have you updated income documents and a valid passport or other documentation requested by UDI?
  5. Do you have a copy of the receipt and an overview of what you are actually submitting?

Do not delay a time-sensitive renewal of temporary residence just to make a “perfect” folder. Read about renewal deadlines if your current permit is about to expire.

When you receive new documents after submitting your application

Use UDI’s official service for submitting additional documents. UDI says that you can log in, find your application under “Submitted applications,” select “Upload documents” and then choose the document type. The service requires that the application has been submitted and the fee paid. After uploading, you receive an email receipt; save it in the folder for submitted documents. You do not need to call just to confirm receipt once the receipt has arrived.
